Is Your Website Organized for Growth or Set Up for Chaos?

If your business uses Microsoft 365, you’ve likely heard of OneDrive and SharePoint. The problem is that many businesses aren’t sure when to use each one, which can lead to misplaced files, access issues, and headaches when employees leave.

The good news? The rule is simple.

OneDrive vs. SharePoint

OneDrive is for personal work files, drafts, and documents you’re actively working on by yourself.

SharePoint is for shared business files that a team, department, or the entire organization needs to access and collaborate on.

A good rule of thumb:

  • If only you need it, save it in OneDrive.
  • If others need it too, save it in SharePoint.

What About Microsoft Teams?

This is where many people get confused.

When you upload a file to a Teams channel, it’s actually stored in SharePoint behind the scenes. Teams is simply providing a convenient way to access those shared files.

That means your team files already belong in SharePoint, whether you’re accessing them through Teams or directly through SharePoint.

Why File Location Matters

Storing files in the right place can prevent several common business problems:

  • Employees can’t find important documents
  • Team members lose access to files
  • Multiple versions of the same document circulate
  • Critical files become inaccessible when an employee leaves

Files stored in SharePoint remain with the organization, while files stored only in OneDrive are tied to an individual user’s account.

Best Practices for Microsoft 365 File Storage

  • Store team and client documents in SharePoint or Teams
  • Use OneDrive for personal drafts and working files
  • Avoid saving important files only on desktops or local devices
  • Share links instead of email attachments
  • Take advantage of version history and file recovery features
  • Establish clear file storage guidelines for your team

A simple standard such as “all client files belong in the client SharePoint folder” can eliminate a surprising amount of confusion.
